If you run a practice, you know the moment...

The phone rings while a patient is sitting in the room. Evening appointment requests pile up in the inbox and the receptionist cannot keep up. The AI voice agent picks up — at night and on weekends too — and books the slot on the spot.

Sound familiar?

Every business runs into these.

„The phone rings after closing”

Nobody answers the appointment requests that come in during the evening. By morning the caller has gone elsewhere — and the slot stays empty.

„The receptionist cannot keep up”

Thirty to fifty calls a day, and 60% of them are appointments. Meanwhile patients are waiting at the desk, getting impatient.

„A cancelled slot stays empty”

A patient calls in the afternoon to say they cannot make tomorrow. Nobody fills the gap from the waiting list.

None of this is inevitable. All of it is fixable.

What it does

What your agent takes off your plate

Booking around the clock

It takes calls at night, on weekends, and on holidays. The caller gets an appointment right away, not a place in an email queue.

Cancellations and changes

Patients can cancel or move their appointment at any time — the system frees the slot automatically.

Appointment reminders

An automatic reminder before the visit — fewer no-shows.

Triage and routing

It separates urgent from routine. In a critical case it connects to a colleague immediately.

Concurrent lines

Ten to twenty calls can land at once at peak. Every one of them answered — for the cost of a single receptionist.

Illustration — the live system is built from your own material

I would like an appointment with Dr. Kovács next week.
Dr. Kovács has openings next Tuesday at 10:00 and Thursday at 15:30. Which one works for you? Source: practice calendar · live data
Tuesday works. Can you also issue a prescription over the phone?
I have booked Tuesday at 10:00 and I'll send an SMS confirmation. My documentation says nothing about prescription requests — I'll pass that to the practice staff and they'll call you back.

It answers from the source — and does not guess at what the source does not cover.

Integrations

We connect it to what you already use.

Nothing new to learn. The AI·Squad agent fits into the tools you already have.

Calendars & booking systems

Google Calendar, Outlook, and the major booking systems — synced both ways.

Practice management software

It plugs into the practice software you already use — synced both ways.

CRM / patient record

Reads and updates patient data in real time.

Email & SMS platform

Confirmations and reminders sent automatically with every booking.

Custom connection

If your system is not on the list, we build a custom integration. Webhook, REST API, direct database connection — we will sort it out.

Works without a phone number

Web widget — an assistant you embed. If you would rather your customers did not have to dial: a voice and text assistant embedded in your site, reachable straight from the browser. No phone number, no hold time — they get an answer right away.

Security & compliance

You do not have to choose between efficiency and data protection.

GDPR-compliant

All health data is stored in the EU, on infrastructure that meets medical confidentiality requirements.

EU AI Act, Article 50

It tells the patient up front that they are speaking with an AI system. Lawfully, and on the record.

EU infrastructure

Every system of ours runs from an EU data center — with data residency you can audit, health data included.

Auditable log

Every call is recorded and the transcripts are available in the client portal.

Common questions

What people ask before they start

How does the AI handle social security numbers and patient data?

All data stays in an EU data center and access is logged. Handling the Hungarian social security number (TAJ) is a configuration choice: the agent can record it with the booking, or you can have it collected only at reception.

What happens if a patient asks something it cannot answer?

It does not guess. It passes the call to reception or logs a callback, along with a summary of the conversation.

Can it connect to our calendar and practice software?

Yes — two-way sync with Google and Microsoft calendars, and if your practice software has a data connection, we hook that up too. Mapping this out is the first thing we do on a project.

How long does a rollout take in a practice?

Typically two to four weeks to the first live call. Your part takes a few hours: handing over the source material and joining the test round.
