AI phone receptionist for dental and medical practices: no call goes unanswered

If you run a practice, you know the moment...

Missed calls at a dental or medical practice are often lost patients. The phone rings while a patient is sitting in the room. Evening appointment requests pile up in the inbox and the receptionist cannot keep up. The AI voice agent picks up — at night and on weekends too — and books the slot on the spot.

2–4 weeks to the first live call, 4–6 with integrations · Hungarian + 20 languages · EU database

Sound familiar?

Missed calls at the practice: sound familiar?

“The phone rings after closing”

Nobody answers the appointment requests that come in during the evening. By morning the caller has gone elsewhere — and the slot stays empty.

“The receptionist cannot keep up”

Most of the calls are appointment requests. Meanwhile patients are waiting at the desk, getting impatient.

“A cancelled slot stays empty”

A patient calls in the afternoon to say they cannot make tomorrow. Nobody fills the gap from the waiting list.

None of this is inevitable. All of it is fixable.

What it does

What an AI phone receptionist handles at your practice

Booking around the clock

It takes calls at night, on weekends, and on holidays. The caller gets an appointment right away, not a place in an email queue.

Cancellations and changes

Patients can cancel or move their appointment at any time — the system frees the slot automatically.

Appointment reminders

An automatic reminder before the visit — fewer no-shows.

Triage and routing

It separates urgent from routine. In a critical case it connects to a colleague immediately.

Concurrent lines

At peak, several calls land at once. The AI takes every one of them — no extra receptionist needed.

Illustration — the live system is built from your own material

I would like an appointment with Dr. Kovács next week.
Dr. Kovács has openings next Tuesday at 10:00 and Thursday at 15:30. Which one works for you? Source: practice calendar · live data
Tuesday works. Can you also issue a prescription over the phone?
I have booked Tuesday at 10:00 and I'll send an SMS confirmation. My documentation says nothing about prescription requests — I'll pass that to the practice staff and they'll call you back.

It answers from the source — and does not guess at what the source does not cover.

Measured results

What we measured, and what we don’t promise

measured live conversations

100%

1,000+ measured conversations across three completed retail campaigns; 91% on-topic rate and 100% tone consistency in the final campaign’s audit (Mammut and Aréna Pláza, Hello Agency). Before go-live, we measure it on your own process in a test round, and you see the results in a monthly report.

We don’t promise flawless performance from any language system, or 100% automation. We do promise to measure and fix: every month you see in numbers what the AI voice agent handles and what it hands to a person.

Operations

What every monthly fee includes

  • Operations and infrastructure

The system runs under our supervision. We track updates and changes to the voice and language models.

  • Monitoring and incident handling

We watch calls and errors. For a critical failure, we start fixing it within 24 hours.

  • Monthly report

How many calls came in, what callers asked, what got resolved, and what went to a person.

  • Content updates

New prices, a new service, changed opening hours: we add them to the system.

  • Support hours

A monthly allowance for changes and questions, by plan, on business days from 9 a.m. to 5 p.m.

  • Joint review in month three

We tune the plan and the conversations to your real numbers.

Integrations

Phone booking straight into your practice’s online calendar

Nothing new to learn. The AI·Squad agent fits into the tools you already have.

Calendars & booking systems

Google Calendar, Outlook, and the major booking systems — synced both ways.

Practice management software

It plugs into the practice software you already use — synced both ways.

CRM / patient record

Reads and updates patient data in real time.

Email & SMS platform

Confirmations and reminders sent automatically with every booking.

Custom connection

If your system is not on the list, we build a custom integration. Webhook, REST API, direct database connection — we will sort it out.

Works without a phone number

Web widget — an assistant you embed. If you would rather your customers did not have to dial: a voice and text assistant embedded in your site, reachable straight from the browser. No phone number, no hold time — they get an answer right away.

Security & compliance

You do not have to choose between efficiency and data protection

GDPR-compliant

Data is handled under the GDPR. The infrastructure meets medical confidentiality requirements.

EU AI Act, Article 50

It tells the patient up front that they are speaking with an AI system. Lawfully, and on the record.

Data storage and processing

We store the customer database in the EU. Voice processing and conversation storage run at sub-processors outside the EU, with the required safeguards (DPF or SCC).

Auditable log

Every call is recorded and the transcripts are available in the client portal.

Common questions

Questions from dental and medical practices

How does the AI handle social security numbers and patient data?

We store the customer database in the EU; voice processing and conversation storage run at sub-processors outside the EU, with the required safeguards, and access is logged. Handling the Hungarian social security number (TAJ) is a configuration choice: the agent can record it with the booking, or you can have it collected only at reception.

What happens if a patient asks something it cannot answer?

It does not guess. It passes the call to reception or logs a callback, along with a summary of the conversation.

Can it connect to our calendar and practice software?

Yes — two-way sync with Google and Microsoft calendars, and if your practice software has a data connection, we hook that up too. Mapping this out is the first thing we do on a project.

How long does a rollout take in a practice?

For a simple process, typically two to four weeks to the first live call; with calendar and system integrations, typically four to six weeks. Your part takes a few hours: handing over the source material and joining the test round.

Does it work for dental practices?

Yes. It books appointments, sends reminders and handles cancellations. It works directly with Google and Microsoft calendars. For other practice systems, we plan a custom integration during discovery.

How much does an AI phone agent cost?

It’s a one-time setup fee plus a monthly fee. The monthly fee covers your included minutes, operations, monitoring, the monthly report and support hours. You’ll find the plans on our pricing page, and the exact amounts in the price list (in Hungarian).
